- I cannot log into the OnBase Client. (Common Login Problem Resolutions)
- Close all applications and restart your computer.
- Have your OnBase Administrator verify the ODBC source (network) / setup (local PC)
- Have your OnBase Administrator check the OnBase Client install. (Correct Client version for database / server version?)
- Ensure your HASP is securely attached to the printer port or USB port on the back of your PC.
- Verify your network security permissions with your Network Administrator.
- Have your Network Administrator verify your local machine security.
- Have your OnBase Administrator verify that you are setup to access OnBase.
- Why do I receive "Invalid or Missing HASP" error message?
- Ensure your HASP is securely attached to the printer port or USB port on the back of your PC.
- Have your OnBase Administrator reinstall the current HASP driver.
- Only one OnBase HASP will function at a time.
- Why can I not use an OnBase option or function that I used yesterday?
- Ensure the appropriate HASP key is on your PC.
- Have your OnBase Administrator ensure the appropriate license for the process is available and registered.
- Have your OnBase Administrator ensure the workstation has the appropriate rights to the process.
- When I try to burn a new CD, I receive an error.
- "Error cannot write to CDR."
- "Disk group already exists at location."
- Have your OnBase Administrator locate the temp report path*, and rename the onbase.id file. Ensure the onbase.id being renamed is in the correct "temp" folder.
*Path - Within the OnBase Client, select User from the main menu bar. Then select the Workstation Options from the drop-down menu. The temporary path for reports is listed in the pop-up window.
- Why do I receive a "Mount disk error" when attempting to retrieve documents.
- OnBase cannot find the onbase.id file for the disk group, for the document you are trying to retrieve.
- Have your OnBase Administrator check the path to the disk group. Confirm that the path still exists and the onbase.id file is present. If not, contact Latitude 44, Inc. Technical Support.
- Is the document On-Line, or has it been transferred to CD? If it is on CD, locate the CD and insert it in the local machine.
- You may not be able to access the Optical drive on the OnBase Server and/or the Jukebox. Typically this is a networking or security (permissions) issue. Contact your OnBase Administrator and/or your Network Administrator for assistance.
- Why do I see "Unidentified document" in some of my search result lists?
- Check the document setup in the COLD Import Configuration. The ID String is not configured correctly to accurately identify the specific report or document type.
- Why am I receiving a "Platter Management Error – Cannot Write To Disk" message?
- The OnBase data volume location is full or inaccessible. Additional disk space is required.
- The OnBase Administrator (along with the Network Administrator) should determine and clear unnecessary files from the area where the OnBase data volume is located.
- The OnBase Administrator and the Network Administrator may need to relocate the OnBase data volume to an area on the network with more available disk space.
- The Network Administrator may need to add more disk drives to the area where the OnBase data volume is located.
- Why can I not update a revision-controlled / rendition-controlled document?
- In general, the first person to open a document becomes the "owner" of that document for revision / rendition purposes. Subsequent users can view but are not allowed to revise the document until the first user is finished. Improperly terminated sessions can cause erroneous document locks.
- You do not have revision / rendition authorization for the document.
- If the document cannot be revised / renditioned by any user, the OnBase Administrator should check the document lock administration and remove the document from the list.
- How do I contact Latitude 44, Inc. Technical Support?
Before you contact Latitude 44, Inc. Technical Support:
- Document as much as possible about the error / problem your are experiencing. Write down the exact wording of the error, the window title of the error, and what you were trying to accomplish when the error occurred.
- Try to be at the machine where the error is occurring when you call, in order for Technical Support to guide you through appropriate troubleshooting steps.

- How do I setup a printer to work with the OnBase Client?
- With the help of your OnBase Administrator -- In Client workstation options, select Print Queue Mapping, highlight desired print queue, select configure, choose desired printer, and choose map.
- How do I create a hard-copy list of all the documents within a specific OnBase Document Type?
- Choose your Document Type Group, choose your Document Type, enter any appropriate Keywords to narrow your results, then select Find.
- Right-click in the Document Search Results window.
- Select Create List Report.
- There are numerous options that can be selected by right-clicking on the resulting List Contents Report window. ie: Print; Copy to Clipboard; etc.
- How do I create a list of all the indexes created during a COLD or DIP process?
- These extracted indexes can be placed in a separate text file which is useful for auditing and verification purposes, manipulation by other programs, or the extracted indexes can be used with an AutoFill Keyword Processor. Note: Document numbers can also be extracted during processing.
- You must select the Extract Index Information check box (COLD processing) and Index Extraction Format (COLD and DIP processing) in the Process Paths dialog box during configuration, in order for Index Extraction to be performed as the data is processed.

- Can I use OnBase to store, manage, and provide revision control of my Microsoft Office or Lotus SmartSuite word processing documents, spreadsheets, presentations, and forms?
- With the EDM Services module, users can save revisions and stamp versions of any document type stored in the OnBase repository.
- Can I use OnBase to store and index Microsoft Outlook®, IBM Lotus Notes® or Novell GroupWise® email messages and attachments?
- Subscription Server and Integrations for Microsoft Outlook, IBM Lotus Notes and Novell GroupWise import e-mails as OnBase documents, enabling them to function just as other documents in OnBase. Users can take advantage of full OnBase functionality such as cross-referencing, keywords, Workflow and enterprise availability, just to name a few.
- Can I quickly and easily access the documents and images I have stored in the OnBase system from within my application software?
- Hundreds of applications, such as ERP, CRM, accounting or other transactional systems, have been "AppEnabled" to allow OnBase users to index and retrieve documents, automatically generate OnBase workflows and Microsoft Word documents and create bar-coded cover sheets without ever leaving the applications in which they work every day.
